• Booking information: name, email address, phone number, mailing address, and occupancy type when you submit a reservation.
• Account credentials: email address and password when you set up your Customer Portal account.

• Passage applications: additional information you provide when applying to join a passage as crew.
• Emergency contact information: name and phone number of your designated emergency contact, provided prior to departure.

Payment information

Information collected automatically

• Usage data: pages visited, time spent on the site, browser type, device type, and referring URL, collected through standard web server logs.
• IP address: used for security and fraud prevention purposes, including Cloudflare Turnstile verification on public forms.

• Send booking confirmations, payment reminders, and event-related communications.
• Provide access to your Customer Portal.

We do not sell, rent, or trade your personal information to any third party.

4. Email Communications

We use Resend to deliver transactional and marketing emails. When you book an event, you will receive automated emails related to your reservation, payment schedule, and Customer Portal access. You may opt out of non-essential marketing emails at any time by contacting us at info@oceansailingadventures.com. Transactional emails (booking confirmations, payment reminders, and safety communications) cannot be opted out of while your booking is active.

5. Referral Partners

If you were referred to Ocean Sailing Adventures by an instructor referrer or partner sailing school, we may share your first name, last name, booking status, and event details with your referring partner for the purpose of commission tracking and customer service coordination. We do not share your payment information or contact details with referral partners without your consent.

6. Cookies and Tracking

Our website uses session cookies to maintain your Customer Portal login. We do not use third-party advertising or behavioral tracking cookies. You may disable cookies in your browser settings; doing so may affect your ability to access the Customer Portal.

7. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Booking records are retained for a minimum of seven (7) years for accounting and legal compliance purposes. We use industry-standard security measures to protect your personal information, including encrypted connections (HTTPS/TLS), hashed password storage, and access controls that limit data access to authorized personnel only. No system is completely secure; we cannot guarantee absolute security of your information.
